How to write a thank you note: A quick guide

We live in a world where customer service has become commoditized and brand interactions have become lightning fast.

This can be both a curse and a blessing; you’d be surprised how much of an impact something as simple as a “thank you for your order” note can have.

Why?

Because even a small token of gratitude demonstrates to your customers that you value them as individuals. That you are interested in their business and how pleased they are with their purchases from you.

In this article, we’ll look at a variety of examples, tips, and templates that you can start using right away — regardless of your resources, budget, or customer communication channels.

“It’s easier to love a brand when the brand loves you back,” acclaimed author and businessman Seth Godin famously said. This concept also applies here.

When you go above and beyond for your customers, you will receive more in return. They’ll want to interact with your company on their own accord, which often leads to increased sales and more loyal customers.

You’ve probably heard the statistic that it costs five to twenty-five times more money to acquire new customers than it does to retain existing ones.

Customer loyalty and retention are critical for your company’s long-term health in today’s competitive world. If you’re constantly losing customers and working hard to gain new ones, you’ll find yourself spending a lot of money with little financial return.

This can also harm your reputation, or at the very least cause you to miss out on important opportunities for word-of-mouth referrals.

Increased word-of-mouth marketing

Customers who are pleased with their purchases are willing to share their opinions. They give them positive feedback, share them on social media, and tell their family and friends about them.

According to one study, 86 percent of participants said that family and friends have the greatest influence on their purchasing decisions.

Because it is based on the trust and confidence of our peers and loved ones, word-of-mouth is an extremely powerful marketing tool. (On the other hand, negative word-of-mouth can be equally damaging to businesses!)

Tips for your “Thank you for shopping with us” message

1. Greet them by name

You should know their first name based on their order. Use it to add a personal touch to your note.

Use a friendly or informal greeting to break through the transactional nature for extra points. You could try something like this:

“Hey Jane”

“Hi there Jane!”

Or even something a little more eccentric, like “To the one-and-only Jane.”

Remember to have some fun with it if it fits your brand. Your clients will notice.

2. Add a human touch

Continuing from the previous point, avoid sounding like a computer or a stuffy customer service script.

Make use of conversational language. Consider how you would thank a coworker, peer, friend, or family member.

As much as we talk about a “thank you for your purchase” message, try to be more creative than just writing “thank you for your purchase.” Try something like this:

  • We’re delighted to have you as a customer.
  • It means everything to us that you chose us.
  • Thank you so much for considering us.

You’ll be able to develop a deeper and more personal connection with them if you can show them that there are actual humans behind the curtain.

3. Write it by hand

Nothing beats receiving a handwritten letter. It immediately stands out and indicates that someone took the time to write it specifically for you.

Even if you use a message template for all of your thank you notes, handwriting them adds a level of personalization that a printed message simply cannot match.

And don’t be concerned about your handwriting! In the “bigger picture,” the sentiment behind writing a note is more important than the handwriting. Your customer will be equally pleased.

4. Don’t get promotional

It’s not the right time to sell! Remember, you’ve already done that?

If you use a thank you purchase note to promote a new product or sale, you risk undermining the note’s authenticity and integrity in the first place.

Your customer may believe that your carefully crafted note is more of a mass sales brochure than an attempt to make a genuine, personal connection.

5. Keep it brief

In general, your thank you purchase note should be no more than a few sentences long. If you write a novella, you risk losing the customer’s interest or diminishing the impact of your note.

Stick to the basics: express your gratitude (along with a few personal customer details), and you and your customer can be on your way.

6. Sign off with a real person’s name

You can also add a human touch to your note by signing it as a real person on your team. This can come directly from the founder or CEO, or from a customer service representative at your company.

7. Take your game to the next level with personalized stationery

Even if you send your thank you note on blank paper or cardstock, you can amp up the impact by including a custom card with your branding on it.

8. Send a freebie on an occasional basis

Every now and then, give a free gift to your most loyal customers. This can take many forms, such as a $10 discount on their next purchase, a gift card for something else, or a small item sent to them along with the letter.

This item could be something from your store or something they’re likely to enjoy based on previous purchases from you.

For instance, if your company sells makeup, send your customer a free lip gloss. Send them a free t-shirt if you sell clothing.

You don’t have to spend a lot of money on these gifts, but thoughtfulness counts.
